Using and allocating payments through the Virtual POS
You are able to use the Virtual POS payment button to take payments from clients when there is no invoice in the Apxium system.
This will then require you to allocate the payment to an invoice at a later date.
A receipt is sent to the merchant administrator email once a payment is taken allowing you to
forward on to a client email account if you wish.
All virtual POS payments will be outlined in the settlement report the following day. This will then
allow you to reconcile your bank account.
Proceed to process all Apxium deposits in your Xero as per previous instructions by using the rules you have set up. That is, all Apxium payments should be allocated via a rule to the Apxium Clearing account. This will ensure that the deposits balance with the reconciled invoices that Apxium has marked as paid previously.
When this is done and there is a portion of the deposit that is from a Virtual POS payment the
Apxium Clearing account will be in credit to the extent of any Virtual POS payments that have not
been allocated out.
The Virtual POS deposit form the bank feed will be visible as a line item in your Apxium Clearing
Account once allocated as per the standard daily process.
From here, you are able to now manually allocate the payment against any invoice you choose.
Find the invoice in the Accounts tab as per below and allocate the funds in the “Receive a Payment” section by choosing the “Paid To” field as the Apxium Clearing Account. Fill in all the other fields and click on Add Payment.
This will now mark invoice as paid and your Apxium Clearing Account will no longer be in credit as allocation of the payment will be reflected as a debit.
