# Setting Up Xero for ASICPay

There are a few tasks that need to be performed to get the Xero integration working correctly.

1\. **Choose a Branding Theme**
Let us know the **name** of the branding theme you wish to use for ASIC Pay invoices. Either use an existing theme or set one up – it’s up to you.  We suggest using the theme you previously used for ASIC Invoices. It's important that you let us know the exact name, including spaces.

2\. **Create Bank Rule in Xero**
When ASIC Pay debits the firm bank account to pay ASIC, amounts should be coded to the ASIC Pay Clearing Account.

Transactions in Xero will look like this:

Create a bank rule on the nominated bank account as follows:

3\. Choose a Revenue Account Code
When ASIC Pay is connected directly to Xero, each time a renewal invoice is created, it is pushed through to Xero. Invoices include two line items:

**Line Item (1) Your service fee**

**Amount**
The fee charged depends on what you have setup for a particular company (see **Setting up the Firm’s Annual “ASIC Agency” Fee**). This line attracts GST.

**Account Code**
You need to select the Xero Revenue account your firm uses for ASIC service fees. **Navigate to Firm Settings \> Integrations \> Accounting software and choose your preferred account.**

**Line Item (2) The ASIC disbursement**

**Amount**
The second line of the invoice is the amount outstanding to ASIC. This is the amount that appears on the ASIC invoice that accompanied the annual review. Note that the system will debit the **total amount** of that invoice, not just the annual review fee. So, if the client has an existing debt, the whole amount will be processed by ASIC Pay. No GST applies to this line item.

**Account Code**
The Xero account used for the ASIC fee is a balance sheet account called **“ASIC Pay Clearing Account.”** You do not need to create this account – ASIC Pay will create it for you when the first ASIC fee processes.

At any point in time the balance of this account is the money that is awaiting payment to ASIC. It is usually only there for one day.

Upon collection of cash from Client -\> Clearing Account Credited

Upon debiting your bank account to pay ASIC -\> Clearing Account Debited

Upon payment, invoices are automatically reconciled in Xero.
