Admin > Sent Emails Page Overview

The Sent Emails page in the Apxium Admin portal provides a detailed view of email communications initiated through the platform. It is designed to help administrators track and verify outgoing email activity related to engagements and collections—offering transparency over manual sends, debtor-initiated communication (e.g. payment confirmations), and system-generated emails.

Important: This view only confirms that an email was initiated. It does not provide delivery analytics such as Delivered, Bounced, Opened, or Clicked statuses.

Email Grid View

Sent By Column

  • The "Sent By" column allows users to see who triggered the email.

  • This includes:

    • Manually initiated emails from firm users (e.g., accounts@cbdaccounting.com.au)

    • Client-initiated emails (shown as “Debtor”) triggered when a client enters an email address other than the email address we have on file and sends a copy of the payment confirmation upon making payment.

  • If the "Sent By" field is blank, it indicates that the email was system-generated.


 

Debtor Identification Columns

The email grid now includes:

  • Debtor Name

  • Debtor Code

  • Debtor Partner

These fields provide quick context about the email recipient and their assigned partner, which is especially useful for Audit Safe triggered emails, engagement communications, ad-hoc statement sends, and payment confirmations.


 

Forwarding Emails from Sent Emails Page

When an email is forwarded from the Sent Emails page, it is not captured in any logs accessible to the firm. Forwarding is not intended as a standard operation.

Recommended Practice:

Use the "Send Ad-hoc Statement" feature to generate and send a new, fully logged statement or invoice. This ensures accurate audit trails and system visibility.

 

You may still forward other types of communication, but please note that these actions are not currently recorded in the Sent Emails page.


 

Customise Your View

You can personalise the Email grid by selecting which columns appear. Simply navigate to the right-hand side of the screen, open the Columns panel, and tick the fields you want to display. This allows you to tailor the data view based on your workflow and preferences.
